Privacy Policy

NutritionGuide, LLC ("NutritionGuide," "we," "us," or "our") respects your privacy. This policy explains what personal information we collect, how we use it, and who we share it with. Throughout this Policy, references to "NutritionGuide," "we," "us," or "our" refer collectively to NutritionGuide, LLC and its associated practitioners, unless the context indicates otherwise.

If you do not agree with this Policy, please do not use this website or submit information to us.

We work with clients around the world, including in the United States, the United Kingdom, and the European Union. Where applicable law gives you specific rights — such as the UK GDPR or EU GDPR — this Policy explains how to exercise them, in addition to the general practices described below.

Information You Provide to Us

Most of the information we collect comes directly from you, through forms and questionnaires you voluntarily complete — for example, intake forms, health and lifestyle questionnaires, scheduling requests, and messages you send us. This may include your name, contact information, and information you choose to share about your health, habits, and goals in connection with the services you request.

We collect this information because it is necessary to provide the services you're requesting. We do not collect information about you behind the scenes beyond what is described in this Policy.

Health-Related Information

Because our services involve reviewing information such as bloodwork and lifestyle patterns, some of what you share with us may be considered sensitive health information. You provide this information voluntarily, and we use it solely to support the services you've requested. Sharing this information with us does not create a doctor-patient relationship, and our practitioners do not diagnose, treat, or prescribe for any medical condition.

How We Use Your Information

We use the information you provide to:

º Deliver the services and programs you've requested.
º Communicate with you about scheduling, your program, and related administrative matters.
º Coordinate with other practitioners involved in your services, where applicable and with your consent.
º Maintain accurate business and client records.

We do not use your information for advertising or marketing profiling, and we do not sell your information.

We do not sell or share mobile or personal data with third parties, affiliates, or partners for marketing or promotional purposes. We only share data with third parties when strictly necessary to deliver our service and only under binding agreements that ensure confidentiality. Under no circumstances will mobile data be shared or sold for advertising or promotional use.

Third-Party Service Providers

To operate our business and deliver services, we use a set of third-party platforms and service providers, including:

  • JotForm — intake forms and questionnaires
  • Claude AI and Grok AI — administrative and customer service support
  • Microsoft 365 and Microsoft Teams — email, scheduling, document management, and meetings
  • ManyChat — client communication
  • Zenler — website hosting and platform services
  • NextCloud — secure file storage
  • Zapier and Make — automation and workflows connecting our other business tools, including webhooks
  • Meta Business Suite (Facebook and Instagram) — social media and business communication, unrelated to this website
  • Zoom — occasional video meetings

Your information may be processed through these platforms solely to support customer service and the client experience. We select our service providers with reasonable care, but each platform maintains its own security and data practices, which we do not control and do not have full visibility into. Where we can configure a setting, our AI-based service providers are set not to use your interactions with us to train their underlying models; we cannot guarantee this setting for every provider or that it will remain unchanged in the future.

We do not share your information with any party for the purpose of that party independently storing, using, sharing, or selling it. We do not share your information with government entities, insurance companies, or medical organizations, except where required by law (for example, in response to a valid subpoena or court order).

Legal Basis for Processing (UK/EU Residents)

If you are located in the UK or EU, we process your personal data on one or more of the following legal grounds:

  • Performance of a contract — to provide the services you've requested.
  • Legitimate interests — to operate and administer our business, provided this does not override your rights and interests.
  • Consent — for optional communications, such as marketing, which you may withdraw at any time.
  • Legal obligation — where we are required to process or disclose data by law.

Generally, we do not rely on consent as a legal ground for processing your personal data, other than in relation to sending marketing communications to you via email or text message. You have the right to withdraw consent to marketing at any time by contacting us using the contact us form on the Website or using the privacy settings in your profile.

International Data Transfers

Because we work with clients around the world and use service providers based in different countries, your information may be transferred to and processed in countries other than your own, including the United States.

Data Security

We take reasonable steps to protect your information, including limiting access to those who need it to provide your services. No method of electronic storage or transmission is completely secure, and we cannot guarantee absolute security.

Data Retention

We retain your information only as long as reasonably necessary to provide your services, maintain accurate business records, and meet any applicable legal or tax obligations.

Your Rights

You may ask us to:

Access the information we hold about you.
Correct inaccurate information.
Delete your information, subject to any records we're required to retain by law.
Object to or request restriction of certain processing.
Receive a copy of your information in a portable format.
Withdraw consent, where processing is based on consent.

To make a request, contact us using the support/contact form on the website. We will respond within the timeframe required by applicable law (generally within 30 days).

If you are located in the UK or EU and are not satisfied with our response, you have the right to lodge a complaint with your local data protection supervisory authority — in the UK, the Information Commissioner's Office (ico.org.uk).
